We are currently seeking an experienced Executive Assistant (“EA”) to support the President of The Presidio Group at our Atlanta office located in Peachtree Corners, GA. The position is central to the executive administration and management of the Atlanta office, ensuring the smooth functioning of the Atlanta office and coordination with the broader Presidio organization. Additionally, the EA will play a key role in organizing and managing the Atlanta office, while also providing support to the Atlanta-based team members.
The EA’s main responsibility is to provide the president of The Presidio Group with administrative support in the following areas:
- Manage calendar, prioritizing appointments, meetings, and events to optimize time management
- Coordinate travel arrangements, including flights, accommodations, and itinerary planning, ensuring seamless logistics
- Act as primary point of contact, handling inquiries, screening calls, and managing correspondence with professionalism and discretion
- Assist with minor personal and administrative items
Atlanta Team Member General Support:
- Book travel arrangements and conference registrations for Atlanta team members
- Compile and submit expense reports for Atlanta team members
- Assist Atlanta team members with minor/general administrative needs
Meeting & Event Coordination:
- Organize and coordinate all internal and external meetings, ensuring all logistics are coordinated for in-person and virtual meetings
- Prepare comprehensive meeting agendas and ensure timely follow-up on action items
- Assist in planning company-wide events, including Presidio conferences, National Auto Dealer Association (NADA) conference, and annual company-wide gatherings
- Plan and organize employee engagement events
Project Management and Analytical Support:
- Assist Atlanta team members in delivering special projects, ensuring timelines are met, objectives are achieved, and resources are effectively utilized
- Coordinate across Presidio teams to gather information and track progress of company-wide projects
Office Management:
- Ensure the effective management of the Atlanta office, including landlord communications, supply management, and office organization
- Manage all shipping and mail activities for the office
Qualifications
- Proactive, positive mindset that resonates with Presidio’s values
- Bachelor’s degree or equivalent experience
- ~10 years of experience as an executive or administrative assistant
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Discretion and confidentiality in handling sensitive information
- Attention to detail and accuracy in completing tasks
- Professional demeanor and client-focused orientation
- Proficiency in Excel, Word, PowerPoint, CRM experience a plus
