Summary of Responsibilities
This position provides service support the financial advisor and her clients and assists with administrative support in the day-to-day operations of the firm. The ideal candidate has great attention to detail and is a self-starter as the job requires a lot of paperwork, note taking, and follow-ups with a mix of independent work and teamwork. The ideal candidate also will enjoy speaking with clients, as customer service is paramount.
Principal responsibilities
- Complete client paperwork; ensure all required forms are completed fully and accurately.
- Prepare administrative elements ahead of clients’ meetings with financial advisor, such as completing notes and generating reports for advisor’s meetings with clients.
- Conduct follow-up tasks post advisor’s meeting with clients, such as update notes in client relationship management (CRM) system, assign tasks to the appropriate person on the team, and send follow-up email to client.
- Collect and summarize research materials for financial advisors on Morningstar® , COMMunity Link® , and other research software as directed by the advisor.
- Put together MS PowerPoint presentations and MS Excel spreadsheets as directed by the advisor.
- Assist with the administrative parts for the firm’s marketing. Such as preparing guest lists, contacting venues, putting together materials for mailings and events, etc.
- Maintain updated client contact records using CRM system.
- Maintain up-to-date organized client files, including copies of all signed applications and forms, according to Commonwealth’s Compliance requirements.
- Prepare and send outgoing mail.
- Maintain appropriate turnaround time on incoming items and projects.
- Prepare for client office visits by setting up the conference room, making coffee, greeting client, etc.
- Handle various incoming/ outgoing calls.
Required knowledge/skills/competencies
- BA or BS preferred (does not have to be in finance).
- Minimum of 2 years of client service / customer service experience (experience does not necessarily need to be in an office).
- Exceptional customer service experience and good, positive attitude.
- Fluency with computer programs, including MS Word, Excel, and PowerPoint and client relationship management (CRM) software.
- Ability to interact with people across all levels of the business and our outside vendors
- Attention to detail and accuracy is paramount.
- Ability to effectively prioritize workload and meet deadlines.
- Sophisticated organizational skills, including physical resources (such as files, manuals, etc.) and nonphysical resources (such as calendars, appointments, events, client contact records, images, etc.).

The ideal candidate will work both independently and collaboratively, depending on the day.
- We have two locations: West Hartford (main office) and Westport (satellite office). Training of the position will occur in the West Hartford office. Once training is complete, there will be a possibility to make the role a hybrid position: partially in-office, partially work-from-home (or Westport office if that’s more convenient).
- We are an established firm (40+ years in CT) but we are now looking to grow to take our firm to the next level. We’re looking for someone with a growth mind-set, excited by the possibility of being part of our growth for the long-term. Because of our continued growth, this candidate can certainly remain in the client service associate role for a long time, but there is also room in the future for this candidate to grow—if they’d like— by taking licensing exams, learning new aspects of the business, developing into a sales role, or developing into another role at the firm.
- Salary and BenefitsSalary will be $55K, depending on experience with annual bonus.
- Vacation:
- Unpaid time off in the first 90 days of hire is permitted.
- Acquire 1 day of paid vacation for every month worked, so by end of year-one the employee will have a total of 12 vacation days.
- After 1 year of employment, the office offers UNLIMITED VACATION with prior approval from your manager and with all your work being complete and up to date.
- 401K with employer match is offered for those 21 years old + and have worked 6 full months at JWM. Additional 401K profit sharing is offered at employer's discretion.
- Health insurance not offered, but if qualified, a stipend is offered. To be discussed upon hire.
