Verity Investment Partners (VIP) is seeking a highly organized, detail-oriented, and strategic individual to serve as Director of Operations. This key leadership role oversees all operational functions of the firm—including accounting, compliance support, human resources, systems management, client care operations, and vendor relations—to ensure the efficiency and scalability of VIP’s growing business.
The Director of Operations will partner closely with the firm’s leadership team to enhance internal systems, streamline workflows, and ensure excellence in operational execution. This role is ideal for a professional who thrives on building structure, improving processes, and leading a cross-functional team to achieve consistent, high-quality outcomes.
Primary Responsibilities
Systems & Technology Management
· Maintain vendor relationships with all providers - Conduct annual reviews, track service levels, and manage data requests.
· Audit systems, manage administrative level components/settings
· Monitor data and responsible for reporting in all systems
· Oversee employee systems, surveys, and security campaigns.
· Oversee procurement and hardware inventory management.
Compliance Operations
· Serve as liaison with outsourced COO
· Participate in weekly compliance meetings and maintain action lists.
· Administer quarterly attestations and trade pre-clearance policies.
Human Resources
· Manage recruiting processes including job postings, candidate review, and communications.
· Oversee onboarding, offboarding, and benefits administration (including 401(k) and open enrollment).
· Maintain job scorecards and execute annual review processes.
Sales & Marketing Support
· Participate in weekly sales and marketing meetings, capturing notes and action items.
· Oversee monthly communication blasts within HubSpot.
· Support sales leadership to ensure operational alignment with marketing initiatives.
Accounting & Financial Operations
· Oversee accounting functions including accounts payable, accounts receivable, and reconciliations.
· Manage payroll, Schwab 401(k) payments, HSA contributions, and team reimbursements.
· Post transactions in QuickBooks and run monthly GL, P&L, and transaction reports.
Operations General
· Attend/document key meetings, tracking action items and follow-up across departments
· Maintain all training documentation and standard operating procedures.
· Lead quarter-end processes and workflows
· Review contracts and manage firm-wide filing systems.
· Lead operational improvement projects and assist with special initiatives as assigned.
Qualifications
Required:
· Bachelor’s degree in business administration, HR, accounting/finance, or related field.
· 5–10 years of experience in financial operations or firm administration (preferably in investment management or wealth advisory).
· Demonstrated leadership ability and team management experience.
· Strong analytical and organizational skills, with meticulous attention to detail.
· Proficiency in QuickBooks, Microsoft Office Suite, and CRM systems (Redtail or similar).
Preferred:
· Experience with Orion, Schwab, or similar investment software platforms.
· Familiarity with compliance processes and HR administration.
· Process improvement and project management experience.
Salary and Benefits
· Pay/benefits are competitive based on industry standards. Anticipated range of $125,000 to $150,000
· Bonus and incentive compensation eligible
