Role Description
We are seeking an Assistant Vice President – Client Services & Operations to join our team in a key client-facing and operational role. This individual will directly support senior management and clients, help streamline internal processes, and contribute to the professional, service-driven culture of the firm.
This is an excellent position for someone who wants to grow with a small firm, take initiative, and build a career in financial services and wealth management.
Schedule: Monday–Friday, 8:30 AM – 4:30 PM (On-site)
Key Responsibilities
- Serve as a primary point of contact for clients with professionalism, warmth, and a service-first mindset
- Support account onboarding, transfers, and custodial paperwork (Schwab experience a plus, but not required)
- Prepare client meeting materials, reports, and follow-up communications
- Maintain accurate records and ensure data integrity across internal systems
- Assist with operational workflows and help improve processes as the firm grows
- Coordinate with advisors to ensure timely follow-up and exceptional client experience
- Take initiative to identify opportunities to enhance client service and internal efficiency
- Support miscellaneous administrative and operational tasks as needed in a small-team environment
Qualifications
- Bachelor’s degree required (Finance or Accounting preferred)
- Strong organizational skills with exceptional attention to detail
- Self-starter who takes initiative, learns quickly, and thrives in a small, growing firm
- High social intelligence and excellent communication skills
- Friendly, professional demeanor and a client-first attitude
- Proficiency in Microsoft Office, Word, and especially Excel
- Ability to handle multiple tasks and prioritize effectively
- Prior customer service experience is a plus; financial services experience a strong plus
