Overall Function
The Associate Wealth Management Advisor supports wealth advisors in delivering investment management and financial planning services. This role assists with advisory account administration, investment proposal preparation, client service, account processing, portfolio maintenance, and operational support. The Associate Wealth Management Advisor works under the supervision of a licensed wealth advisor and may participate in client meetings, prepare financial planning materials, execute investment-related administrative tasks, and help maintain advisory accounts in accordance with applicable regulations and firm policies.
Key Responsibilities
Advisory & Administrative Support
- Maintain client records, case notes, correspondence, and account documentation.
- Prepare and organize advisory paperwork, performance reports, and client files.
- Assist with client meeting preparation and occasionally participate in meetings.
- Respond to internal inquiries regarding advisory accounts.
- Monitor industry trends and investment research.
- Ensure compliance with firm policies and regulatory requirements.
- Maintain marketing materials and educational resources related to advisory services.
Proposal & Financial Planning Support
- Assist in identifying opportunities for additional advisory services with existing clients.
- Gather financial information for client meetings.
- Prepare annual review materials.
- Develop and update investment proposals and recommendations.
- Prepare letters of instruction and other client documentation.
- Assist in preparing financial plans, investment policy statements, and needs-based analyses.
- Research and recommend portfolio allocation options.
Investment Account Operations
- Prepare and process new advisory account paperwork.
- Monitor account openings, transfers, funding, and asset movements.
- Assist with implementing portfolio allocations and investment trades.
- Process account updates, amendments, and maintenance requests.
- Monitor alerts, trade activity, and account eligibility.
- Execute approved buy, sell, rebalance, and allocation transactions.
- Resolve trade-related issues and follow up on rejected transactions.
- Maintain advisory accounts and ensure accurate portfolio administration.
Client Support
- Respond to client service requests related to advisory accounts.
- Explain investment plans, advisory services, fees, and account performance.
- Coordinate account maintenance, distributions, withdrawals, and service requests.
- Discuss retirement account rollover opportunities when appropriate.
- Track follow-up items and service requests.
- Generate portfolio performance and investment reports.
Qualifications
- Bachelor's degree in Finance, Business, Economics, Accounting, or a related field preferred.
- Securities licensing (such as Series 7) preferred or required based on role.
- Experience supporting investment advisory or wealth management services preferred.
- Experience with investment account administration and portfolio management systems.
- Familiarity with Microsoft Office and financial technology platforms.
- Strong analytical, organizational, and problem-solving skills.
- Excellent verbal and written communication skills.
