Job Summary
The Centralized Scheduling Team is designed to assist experienced financial representatives with scheduling appointments daily. The mission of Centralized Scheduling is to increase business productivity by setting appointments for the advisor with their referrals and existing clients on the phone or in person. Our goal is to deliver an efficient and streamlined process that will allow financial representatives to reap the rewards of consistent scheduling work.
Key Responsibilities:
· Make dials for all prospects with the goal of setting an initial discovery appointment (called a Factfinder)
· Make dials to existing clients; once to schedule reviews, follow ups, or any time sensitive policy options
· Complete all assigned dials sent over by each financial representative
· Serve as backup for team members
· Track all communication with client including leaving voice mails, no answers, etc. in CRM (Client Relationship Management) database
· Add all appointments to the advisor’s calendar; color code and “set regard” the appointments
o Add Virtual Links if the meeting is over internet
· Send calendar invites to clients with pertinent details about the meeting
· Prepare and send a weekly report via CRM for the advisor indicating how many dials, reaches and set appointments were made for the week
· Notify advisor if there are too few dials assigned in a given period
· Constantly maintain advisor’s calendars and keep organized and coded properly
· Maintain positive relationships with all assigned subscribers of Centralized Scheduling
· Projects as assigned
