Job Responsibilities
As the first point of contact for clients, this role is instrumental in shaping our client experience and ensuring operational excellence. We are seeking a warm, detail-oriented, and highly organized Client Service Associate / Office Manager to join our team. You’ll serve as the first point of contact for clients, ensure smooth office operations, and support our team of wealth advisors in opening accounts and servicing client needs. This is a full-time, in-office role with opportunities for professional development and growth within the firm.
Client Service
- Build lasting relationships with clients through consistent, high-touch service.
- Coordinate the onboarding of new clients.
- Prepare and process custodian paperwork (account opening, transfer forms, ACATs, TOD changes, etc.).
- Troubleshoot and resolve client inquiries with professionalism and urgency.
- Support ongoing client service needs such as wire transfers, RMDs, distributions, and account maintenance.
- Handle beneficiary changes, address updates, and document requests.
- Follow up with clients regarding any outstanding issues.
Advisor Support
- Prepare and assemble quarterly reports and meeting materials for client reviews.
- Assist with gathering and organizing client documents.
- Provide administrative support to advisors and assist with operational projects as needed.
Office Management
- Answer and direct incoming calls, welcome guests, and provide a polished first impression of the firm.
- Maintain and organize office systems and supplies.
- Generate and send invoices to clients, ensuring accuracy and timely delivery.
- Coordinate, maintain, and improve vendor relationships.
- Coordinate client gifting and holiday outreach initiatives.
- Notary service for client documents.
Technology & Process Improvement
- Explore AI-driven solutions to improve efficiency and streamline firm processes.
- Contribute to operational improvements and process documentation.
- Create and use workflows in our CRM, Wealthbox.
- Maintain and update client records and CRM entries with every interaction.
- Maintain client document vaults and upload important records (e.g., estate docs, tax returns).
- Use our portfolio reporting system, Tamarac, to provide timely reports and compile client information.
Team Support & Backup Coverage
- Provide backup support for advisors and administrative team members when they are out of the office.
- Ensure all client records meet compliance standards (KYC, disclosures, signed agreements).
- Track and manage team calendars, including time off, birthdays, and client milestones.
- Maintain confidentiality and adhere to data security practices.
Work Environment & Location
- This is an in-person role based at our offices in downtown Denver, with occasional flexibility to work from home.

Required & Desired Knowledge and Skills
Required:
- Bachelor’s degree, with 2–5 years of relevant experience in a client service, office administration, or financial services role. Equivalent work experience may be considered in lieu of a degree.
- Exceptional attention to detail and organizational skills.
- Strong interpersonal and communication skills—both written and verbal.
- Ability to multitask, prioritize effectively, and remain composed under pressure.
- Self-starter who thrives in a team-oriented, small firm environment.
- Solid organizational skills and ability to work both independently and collaboratively.
Desired (but not required):
- Familiarity with the Charles Schwab custodial platform.
- Experience with RIA operations.
- Background utilizing Tamarac, Wealthbox, Right Capital, Holistiplan, or similar advisor technology.
- Creation of workflows.
- Understanding of AI applications in the financial services sector.
- Willingness to explore efficiency and process improvements.
Compensation & Benefits
The expected base salary for this position ranges from $55,000 to $75,000, depending on experience and qualifications. In addition to the base salary, employees are eligible for an annual performance-based bonus of up to 10% of the base salary. This brings total compensation to approximately $60,500 to $82,500, excluding potential long-term retirement plan contributions and other firm-paid benefits.
